Where is my data stored?

All data from empirio.ai is stored exclusively in the European Union – this applies to your account data, your surveys, the collected responses and all analyses. This means your data is subject to the GDPR and protected from access by third countries.

Is empirio.ai compliant with data protection regulations and the GDPR?

Accepted Answer

Yes. We comply with all GDPR requirements – from EU-based data storage and transparent data processing through to our users’ rights to access, rectification and erasure. You can find details in our privacy policy. With empirio.ai you can therefore create online surveys that are fully compliant with data protection regulations.

Question 3

Do I need a data processing agreement (DPA)?

You already have this. By registering with empirio.ai, you automatically enter into a standardised data processing agreement with us. You don’t need to request, download or sign anything separately.
This also means you are on the safe side as a business customer when you create surveys in a corporate context – for example employee surveys or customer feedback. You can find further information in our privacy policy.

Who is the controller and who is the processor?

When you create a survey with empirio.ai and collect responses, the following applies:

You are the controller within the meaning of the GDPR. You decide which data you collect, from whom, and for what purpose it is used.

empirio.ai is the processor. We process the data exclusively on your behalf and in accordance with your instructions. We neither use the data for our own purposes nor do we pass it on to third parties.

In concrete terms, this means: if you carry out an employee survey, you are responsible towards your employees – we only provide the platform for you.

Who is the data protection officer at empirio.ai?

You can find the contact details of our data protection officer in the privacy notice. If you have any questions or concerns regarding data protection, you can contact them directly there.

Question 6

Are my respondents’ answers anonymous?

Accepted Answer

By default, yes. empirio.ai does not collect any personal data from participants unless you explicitly ask for it. We also do not store IP addresses together with the responses.
If you need contact details – for example for a prize draw or follow-up questions – you can of course include this as a regular question in your survey. You decide what is collected.

Question 7

Do I need my own privacy policy in my survey?

In most cases yes, if you collect personal data. Since you are considered the controller for your respondents’ data, you are obliged to inform them about how their data is processed – for example about the purpose of the survey, the storage period, and their rights.

empirio.ai makes this easy for you: you can insert a data protection block directly into your questionnaire that displays information and, if necessary, obtains your respondents’ consent. This way you are transparent with your participants and on the safe side legally.

Question 8

How long will my data be stored?

Accepted Answer

As long as you have your account with empirio.ai. We don’t automatically delete anything in the background – your surveys, responses and analyses remain available to you for as long as you need them.
If you want to archive data permanently, you can export it at any time as CSV, Excel, PDF or SPSS and save it locally. That way you’re not dependent on online access.

Question 9

How can I have my data deleted?

You have two options:

Delete individual surveys or responses: Directly in the tool with a single click. Deleted data cannot be restored.

Delete your entire account: In your account under “Settings”. This will permanently remove all data – surveys, responses, analyses. If you want to keep any data, make sure you export it before deleting your account.
