Thesis or dissertation: what the two words mean in the US

A thesis in American usage is the written work submitted for a master's degree, and a dissertation is submitted for a doctoral degree. The distinction runs by degree level, which is why the two words are not interchangeable in a graduate school's paperwork.

Pagination is where the Illinois manual is unusually specific. The abstract must carry the Arabic numeral 2, and that sequence continues unbroken through the rest of the document, so the front matter is never numbered with i, ii, iii. Just as striking is a prohibition rather than a requirement: students may not include a list of figures or a list of tables unless they have arranged an exception with the Thesis Office in advance. Why APA does not decide your thesis structure

APA Style governs papers and manuscripts, not theses, and APA says so itself. Its guidance on the order of pages notes that dissertations and theses may require additional elements and directs writers to follow the institutional or departmental guidelines of their university.

Seven ways to structure the main text

The main text has no single correct shape. It has several recognized patterns, and you pick the one that fits your research question. Choosing deliberately at this stage saves more time than any writing technique later on.

You will often read that a thesis body consists of theory, methods, results and discussion. That is IMRAD, and it is true only for empirical work. The National Library of Medicine describes IMRAD as a de facto standard for journal articles, not as a rule for student work. Anyone writing a literature review who adopts it anyway ends up with a methods chapter that has no methods in it.

The seven patterns are not mutually exclusive. Within one thesis they can be combined, for example an IMRAD shape at the top level and a chronological order inside the literature chapter. What matters is that the sequence follows a logic a reader can reconstruct, rather than the order in which you happened to read the sources.

Numbering headings and deciding how deep to go

Numbered headings are optional in the United States, which surprises most students arriving from a German or Austrian system. The Graduate College at Illinois permits decimal numbering and describes it precisely, with the first digit matching the chapter number and the digit after the decimal point counting headings within that chapter, but it does not require numbering at all.

APA Style goes further and instructs writers not to label headings with numbers or letters. It distinguishes five heading levels purely by typography, from a centered bold title case level 1 down to an indented run-in level 5 that ends with a period. So a numbered outline is a German default, an option at an American graduate school, and a prohibition under APA.

Depth is a matter of judgment rather than regulation. Three levels such as 3.1.2 are the norm and four are the exception. Two further rules apply whenever you number at all, and both are picked up regularly during review.

A section numbered 3.1 always needs a 3.2

A subheading never appears on its own. If you divide chapter 3 into a section 3.1, there has to be a 3.2 as well, because a subdivision with only one part is not a subdivision. The rule doubles as a useful test: if no sibling section comes to mind, the material does not deserve its own heading and belongs in the running text of chapter 3.

At least one sentence sits between two headings

The heading “3 Theoretical framework” is not immediately followed by “3.1 Social capital”. At least one sentence belongs in between, saying what this chapter does and why. For a reader that is the moment they understand where the next pages are going. Without it, the thesis reads like a list of keywords with subtitles attached.

Common mistakes in thesis structure

Most problems with structure come from four mistakes rather than from anything exotic, and all four can be caught while the outline is still a single page. They rarely cost a grade on their own, but they are the reason theses come back from the Thesis Office for revision.

One pass through the outline finds all four in about ten minutes, and the right moment for it is before the first sentence of the main text is written. All you need is your outline and your graduate school format manual side by side.

APA is treated as the format manual

APA governs citations, headings inside chapters and the layout of student papers. It does not govern the order of front matter in a thesis, and APA itself points students to their institution for that. Using the APA page order on a thesis puts every table and figure at the back, which most graduate schools do not accept.

A list of figures is added by default

Lists of figures and tables were a practical necessity when theses were typed and bound. In a searchable PDF they add little, and the Illinois Graduate College bars them outright unless an exception has been agreed in advance. Check whether your own office wants them before you build them.

An outline that works through the sources one after another reads like a book report. Every chapter has to make a visible contribution to answering your research question. The quickest test is to write half a sentence beside each heading explaining why it is needed for the answer. Wherever nothing comes to mind, the chapter can go.
